GDPR Policy

 

When joining East Bergholt Bowls Club members have been asked for specific personal information. This information is essential for the effective running of the club and to keep the members safe. As part of the Data Protection Act 2018 we are required to indicate the information we need, the rules we need to follow (data protection principles) and information that we would not be requesting.

Personal Data Required from Membership Form

Full Name, Full Address, Landline Number, Mobile Number, Email Address, Date of Birth, Usual Signature, Emergency Contact.

Data Protection Principles

The Committee, through the Chair, Club Secretary and Club Captain will ensure that all personal data from members is:

  • Used fairly, lawfully, and transparently.
  • Used for specified, explicit purposes.
  • Used in a way that that is adequate, relevant, and limited to only what is necessary.
  • Accurate and, where necessary, kept up to date.
  • Kept for no longer than necessary (Usually until the member leaves the club)
  • Handled in a way that ensures appropriate security, including protection against unlawful or unauthorised processing, access, loss, destruction, and damage.

Information Not Required

The Club will not require information on members:

  • Race
  • Ethnic Background
  • Political Opinions
  • Religious Beliefs
  • Trade Union Membership
  • Genetics, Biometrics, Health
  • Sex Life or Orientation
  • Disability

 

Your Rights

Members have the right to:

  • Be informed of how their data is used.
  • See their personal data stored and have the right to request data to be updated.
  • Have their data erased.
  • Stop or restrict the processing of their data.
  • Object to how their data is processed in certain circumstances.

 

Other Data Sources

During any year other activities will provide additional or other supportive data. This data may result from:

  • CCTV save securely for a maximum of 3 calendar months. This information will then be eradicated.
  • Specific club activities such as other social events where personal details will be recorded. This data will be destroyed after the event.

Whilst this data is retained it will be subject to the Data Protection Principles.
